Electronic Digital Signature (EDS) is the digital equivalent of your handwritten signature, used to confirm the legitimacy of your digital documents and financial transactions.
How Fraudsters Exploit EDS?
- If your EDS falls into the wrong hands—whether through loss or unauthorized sharing—fraudsters can:
- Access your company’s sensitive data and systems.
- Conduct fraudulent financial transactions on your behalf.
- Sign false documents that could lead to financial and legal losses.
- A common example is when a manager shares his/her EDS with an employee who handles financial operations.
- An unscrupulous employee could misuse the EDS to authorize fake invoices or transfer company funds without consent.
How to Protect Your EDS from Fraud?
- Change the Default EDS Password Immediately:
When receiving your EDS, change the password immediately. Standard passwords like “Aa123456” are easy for fraudsters to exploit. Set a strong and unique password via your personal account.
- Never Share Your EDS with Third Parties:
Your EDS is for your use only. Do not share it with employees, colleagues, or external partners. If an unauthorized person signs documents using your EDS, it will be challenging to dispute.
- Avoid Sharing EDS via Messengers or Group Chats:
Never send your EDS through instant messaging apps or email, especially group chats. Fraudsters can easily intercept such communications and misuse your digital signature.
- Secure Your Computer with Antivirus Software:
If you store your EDS on your computer, ensure it is protected by high-quality antivirus software. Update your security software regularly and avoid opening suspicious emails or links that could contain spyware.
- Do Not Store the EDS with Its Password:
Avoid storing your EDS file and its password together (e.g., in the same folder or with a filename indicating the password). This makes it easy for hackers to access your digital signature.
- Revoke EDS Access for Former Employees:
If an employee with access to your EDS leaves the company, immediately revoke his/her digital certificate. Former employee with access to your EDS could misuse it for unauthorized transactions or even attempt to close accounts.
- Reissue Your EDS if It’s Lost or Stolen:
If you lose your EDS (e.g., stored on a flash drive or laptop), immediately reissue it. Delayed action could result in significant financial losses if fraudsters gain access.
What to Do if You Suspect Fraud?
If you believe your EDS has been compromised or misused:
- Contact your relationship manager immediately.
- Revoke your current EDS and reissue a new one immediately.
